Common Issues You’re Likely to Encounter When Verifying Identity

When I think about identity verification, I imagine it as unlocking something. It sounds simple, almost easy. But if you have ever gone through it yourself, you know it’s more like standing in a long, invisible queue where someone keeps asking for “just one more proof, “just one more detail. You wonder if it even lets someone do it by themselves without a professional.

In the UK, there are two ways to approach this process. One is to use an Authorised Corporate Service Provider (ACSP), someone who knows the right steps, has the right credentials, and can guide you straight through.

The other is to do it yourself directly with Companies House. On the surface, doing it yourself sounds independent and cost-free, but often it means being left to navigate every twist, turn, and dead-end alone.

What Issues Do People Face While Verifying Their Identity?

Doing it yourself does sound motivating and cost-saving, but it has its unwanted issues.

Since the identity verification system rolled out in 2025, many have found themselves caught in an invisible tangle. People receive the official emails asking them to verify their identity, and follow the instructions carefully, typing out a new password that is long, complex, a blend of capitals, small letters, symbols, and a small code meant to protect their digital presence.

But then, time and again, the screen flashes back an unhelpful message: “There is a problem.” No proper details or clues are given, leaving us in frustration.

What People Keep Encountering

  • Password Reset Problems - Users frequently receive the password reset email and follow the instructions precisely, but the system still fails to accept the new password. This occurs even when all password criteria are met. Some suggest this may be due to technical glitches or a surge in simultaneous logins prompted by Companies House communication campaigns.
  • System Reliability - People are found to be concerned about the security, scalability, and general reliability of the GOV.UK One Login system backing Companies House identity verification. Security experts have publicly criticised the platform for software vulnerabilities and inconsistent login experiences, especially during periods of heavy use.
  • Password Reset Process - Official guidance says users can reset their password by entering their email, receiving a security code, and then setting a new password. However, even with following these steps carefully, a significant number of users encounter issues.
  • Unclear Error Message - You try to log in or reset your password as instructed. But all you get is “there is a problem”. Here, the feedback is generic, which makes it difficult for users to diagnose the exact problem, adding to their frustration.

What Can You Do?

What can you do - 3 - identity verification issues

If you encounter difficulties, there are a couple of things that you should be able to do in order to reduce errors and get through the process more easily:

  • Try Again Later - System overload, especially after bulk email notifications, has caused intermittent problems. Waiting a few hours and then attempting again might be successful at times.
  • Verify Your Password Format - Make sure that your new password is a minimum of 14 characters long and meets any other conditions prescribed.
  • Verify Email Legitimacy - Legitimate emails come from companies.house@notifications.service.gov.uk. Verify carefully to avoid phishing scams.
  • Clear Cache or Incognito Mode - Browser cookies and cache can cause login loops. Clear your cache or switch to "private/incognito" mode and verify whether it resolves the issue.
  • Get Assistance - When problems persist, contact the GOV.UK One Login team or Companies House support. Both are working hard to resolve the issue.
  • Try Alternative Verification - In the event One Login is not functional and you need access urgently, you can prove your ID using an Authorised Corporate Service Provider (ACSP) alternative.

Why is This Happening?

The ID validation system, launched as a voluntary function in April 2025, becomes mandatory by the end of 2025. The scale of millions of concurrent users authenticating at the same time unveiled technical constraints and software dependability/security issues, leading to failure to log in, inability to reset passwords, and occasional downtime.

If you’re facing these difficulties, you’re not alone. Companies House and GOV.UK are aware of the situation, and both official updates and community reports indicate that further fixes are expected before the 18 November 2025 compulsory verification deadline.

How Can An ACSP Help You Deal With All These Problems?

Market data reveals that over 75% of overseas individuals are choosing the ACSP route, despite the availability of free direct verification. Free options might be everyone’s first choice, but we all know it is not feasible at all. With the deadline for ID verification approaching, the faster you act, the better.

Gov.UK vs ACSP

While Companies House offers free direct verification through GOV.UK One Login, this service comes with significant limitations for overseas individuals:

Technical Restrictions

  • Requires a biometric passport with functional cryptographic features
  • Limited to specific document types accepted by the digital system
  • Facial recognition technology may struggle with older passport photos
  • No support for document translation or certification

Geographic Challenges

  • System optimised for UK-issued documents
  • Limited recognition of international identity documents
  • No provision for complex residency situations
  • Restricted support for non-English documentation

A Professional Alternative in the Ascendancy

ACSPs offer a diametrically different model for identity authentication, providing an end-client product that meets the business realities of international business leaders.

Why are ACSPs trending

  • Document Versatility & Assimilation - One of the most important advantages of an ACSP is that it can handle a much larger number of documents compared to the official direct verification system. While the normal channel can only handle biometric passports and certain documents issued in the UK, ACSPs can handle non-biometric passports of any country, national identity cards, professional certificates, government-issued approval, historical documents for name change, and certified translation.
Take the case of a Pakistani director who had a non-biometric passport and had changed his name previously. The direct route was hopeless. An ACSP used his Pakistani National Identity Card, a certified marriage certificate, and bank statements to prove his identity in 48 hours.
  • Professional Expertise & Problem-Solving - International business never becomes straightforward. Personal history overlays, cross-border deals, and document variations often confuse computer systems. ACSPs bring in human insight, assessing new document mixes, smoothing out differences, and navigating complex residence or nationality issues. They add this to existing regulation knowledge, understanding what Companies House requires and delivering honest, no-nonsense advice that allows clients to move forward with confidence
  • Risk Mitigation & Compliance Assurance - Possessing an ACSP is a comfort layer. They are subject to tight UK anti-money laundering regimes, carry professional indemnity insurance, and are subject to frequent compliance audits. They have templated procedures to Companies House standards, audited at multiple quality checkpoints, and backed by full audit trails. For overseas directors, this delivers responsibility, transparency, and a clear route for remedying any issues that may arise.
  • Time Efficiency - Others expect professional services to take longer, but ACSPs instead save clients' valuable time. They review and validate documents before submission, forestalling rejection. They can validate dozens of documents simultaneously, liaise with company groups, and have direct communication channels with Companies House. The result is a tidier, quicker process and a much higher chance of first-time approval.
  • Ongoing Support & Relationship Maintenance - An ACSP's work extends far beyond the initial verification. They monitor re-verification deadlines, keep clients informed of rule changes, and are there to support whenever altered verification needs arise. For most international businesses, this is part of an ongoing compliance relationship—increasing to ensure that requirements are met today and will continue to do so in the future.

Conclusion

Identity verification sounds like it should be a mere formality, but in reality, it is frequently a frustrating and unpredictable process, especially for non-domestic individuals. The free GOV.UK route offers independence and no expense, but comes with rigid technical requirements, limited document acceptance, and no real human support when something goes wrong. For most, this means several attempts at logging in, password resets that don't work, and the sinking feeling of hitting yet another brick wall.

ACSPs offer an alternative that trades uncertainty for expertise, flexibility, and responsibility. ACSPs understand the complexities of international documentation, function within strict regulatory parameters, and offer customers the benefit of direct, responsive human support. As the November 2025 deadline draws near, the choice is this: spend valuable time navigating the system on your own, or partner with an expert who can make the process faster, simpler, and far more reliable.

For directors overseas, the decision is increasingly clear that strong verification is not just about meeting today's requirements, but about laying the right foundations for tomorrow's compliance and long-term UK business success.
